Position Summary

We are seeking a detail-oriented and personable Medical Receptionist with prior experience in a clinical or medical office setting to join our clients growing team. The ideal candidate will serve as the front-line liaison for patients, delivering a high standard of customer service while maintaining the smooth operation of front-desk administrative functions. This role requires strong interpersonal skills, organizational capabilities, and a solid understanding of healthcare office procedures.

Key Responsibilities

  • Greet patients and visitors with professionalism, warmth, and efficiency
  • Schedule and confirm appointments using Electronic Medical Records (EMR) systems
  • Answer multi-line phone systems; direct calls appropriately
  • Verify and update patient demographics and insurance information
  • Collect co-pays and process payments in accordance with billing policies
  • Prepare, file, and retrieve medical records while ensuring HIPAA compliance
  • Coordinate with clinical staff to facilitate patient flow and appointment readiness
  • Respond to patient inquiries regarding scheduling, billing, and basic medical procedures
  • Manage incoming and outgoing mail, faxes, and correspondence
  • Maintain the cleanliness and organization of the front desk and waiting area
  • Assist with administrative tasks such as data entry, filing, and supply inventory management

Required Qualifications

  • Minimum of 1–2 years of experience in a medical office or clinical environment
  • Proficiency with EMR/EHR systems (e.g., Epic, Athenahealth, eClinicalWorks)
  • Strong knowledge of health insurance protocols and patient intake procedures
  • Excellent communication and interpersonal skills
  • Ability to manage multiple priorities in a fast-paced environment
  • High school diploma or equivalent; additional certification (e.g., CMAA) preferred
  • Understanding of HIPAA regulations and front-desk confidentiality best practices
