Job Description

We are seeking a high-caliber Executive Assistant to join our clients team! This is not a passive administrative support role — it’s a business-critical position responsible for ensuring executive priorities are executed seamlessly, operations flow efficiently, and key stakeholders are aligned across the board.

Key Responsibilities

  • Serve as the primary gatekeeper and liaison— maintaining fluid communication across internal leadership, external partners, and clients
  • Proactively manage calendars, coordinate meetings, and anticipate needs to ensure daily activities are executed with precision
  • Prepare daily briefings and next-day action items to ensure the executive team is always one step ahead
  • Organize and distribute meeting agendas, take timely and detailed minutes, and manage follow-up actions — ensuring no task falls through the cracks
  • Draft, edit, and distribute internal and external communications
  • Assist with board meeting prep, monthly executive reporting, and high-level document creation (spreadsheets, presentations, policy memos, etc.)
  • Monitor and triage the executive’s email and information flow, addressing requests and inquiries with discretion and efficiency
  • Partner with department heads to schedule strategic reviews, team check-ins, and organizational alignment sessions
  • Research, compile, and prepare materials for executive meetings and presentations
  • Maintain confidentiality while handling sensitive information with sound judgment and integrity
  • Contribute to operational process improvements and take ownership of administrative initiatives that improve team effectiveness

What You Bring to the Table

  • Experience: 2+ years in a senior-level Executive Assistant or Administrative Business Partner role supporting C-suite or VP-level leaders
  • Skills:
  • Exceptional written and verbal communication
  • Mastery of calendar management, prioritization, and stakeholder coordination
  • Advanced proficiency in Microsoft Office Suite and cloud-based communication tools
  • Ability to manage up and take initiative with minimal direction
