OVERVIEW:

As the Executive Assistant, you’ll be responsible for helping operations running smoothly by managing schedules, coordinating dealership communications, preparing all reports, and supporting vendor relations. You will play a vital role in ensuring the efficiency of all departments across network of high-end automotive brands.

Key Responsibilities

Calendar & Schedule Management:

  • Coordinate and maintain the Executive General Manager’s calendar, ensuring efficient scheduling of team meetings, training sessions, and performance reviews.

Internal Communications & Alignment:

  • Serve as the primary liaison between the Executive General Manager and various departments, helping ensure consistent communication regarding objectives, promotions, and process updates.

Reporting & Data Oversight:

  • Compile, review, and analyze reports across departments to support data-driven decision-making and operational visibility.

Vendor & Partner Support:

  • Assist in managing relationships with key automotive vendors, suppliers, and business partners. Responsibilities include contract tracking, delivery coordination, and facilitating smooth day-to-day operations.

Process Improvement Initiatives:

  • Support the identification of operational inefficiencies and contribute to the development and implementation of process improvements to enhance productivity and customer satisfaction.

Inventory & Logistics Support:

  • Help track inventory levels and assist with ordering processes to ensure operational continuity and minimize disruptions.

Qualifications & Requirements

Location: This is a full-time, on-site position.

Industry Experience: Prior experience as an Executive Assistant, ideally in the automotive, RV, powersport, motorsport, or marine industries, is highly preferred.

Accounting Skills: Experience in accounting is a plus.

Technical Proficiency: Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook); experience with dealership management software is a plus.

Communication & Organization: Excellent communication, organization, and multitasking abilities with strong attention to detail.

Professional Traits: Proactive, solution-focused, team-oriented, and able to maintain strict confidentiality.

Other Requirements:

  • Valid U.S. driver’s license
  • Must be authorized to work in the U.S. without sponsorship
  • Must be a current U.S. resident
  • Must successfully pass pre-employment background check, MVR, and drug screening
