Summary

The Scanning Clerk is responsible for the accurate and timely conversion of paper documents into digital format. This role requires meticulous attention to detail, organizational skills, and the ability to handle confidential information securely. The Scanning Clerk will work closely with various departments to ensure documents are scanned, indexed, and stored correctly for easy retrieval.

Key Responsibilities

  • Document Preparation:
    • Prepare documents for scanning by removing staples, paper clips, and bindings.
    • Ensure documents are clean and in good condition for scanning.
  • Scanning:
    • Operate scanning equipment to convert paper documents into digital files.
    • Ensure scanned images are of high quality and legible.
  • Indexing and Filing:
    • Index scanned documents according to company guidelines for easy retrieval.
    • Maintain digital filing systems and ensure documents are stored in the correct locations.
  • Quality Control:
    • Review scanned documents for accuracy and completeness.
    • Perform quality checks to ensure all documents are scanned and indexed correctly.

Qualifications

  • Education:
    • High school diploma or equivalent required.
    • Additional training or certification in document management or a related field is a plus.
  • Experience:
    • Previous experience in a similar role is preferred but not required.
    • Familiarity with scanning equipment and document management software is advantageous.
  • Skills:
    • Excellent attention to detail and organizational skills.
    • Ability to handle and prioritize multiple tasks.
    • Proficiency in using computers and office software (e.g., Microsoft Office Suite).
    • Good communication skills and ability to work effectively as part of a team.
